 Job Summary:

First point of contact for all employees and visitors, you will be responsible for the efficient functioning of the office through a range of administrative, financial and managerial tasks.

Tasks, Duties & Responsibilities:

  • Greeting all visitors and ensure they have a warm welcome
  • Answering the phone and directing calls and taking messages
  • Organising meetings and managing databases
  • Booking transport and accommodation for the office
  • Assist in company events
  • Ordering stationery
  • Send and receive all post
  • Managing the office budgets
  • Liaising with staff, suppliers and clients
  • Assisting the HR function by organising interviews and new starter inductions
 
  • Health & Safety:
  • Ensures all employees within the company are working in a safe manner
  • Fully understands the fire, emergency and health & safety procedures of the workplace
  • Ensures that all potential and real hazards are taken care of immediately, and are reported appropriately.
  • Works in a safe and responsible manner, within the framework of legislation and workplace specific policies.
  • Coordinate contractors carrying out planned maintenance works
  • Identify and report any facilities issues to the relevant contractor
  • Point of contact for the building management and cleaning contracts

     

    Miscellaneous:

    • Is an ambassador for the brand
    • Manage hospitality arrangements for all events
    • Attends training, meetings and other events as requested by direct managerorsenior management, including Head of Human Resources.
    • Assists colleagues by completing tasks outside own job role when requested, including supporting associated companies.
    • Maintains own working area in a professional and organised manner.
    • Always strives to improve the departments operation and increase knowledge of own and related job functions.
