Role Purpose:

As receptionist, you will work in our busy Head Office representing our brand. You will act as the first point of contact for our customers and visitors and will deliver high levels of hospitality and customer service.

The role directly and positively impacts all colleagues and visitors at the group head office and supporting buildings. The role is key to our ability to ‘do business’ efficiently – making it a great place to work. The target being to ensure we ensure all visitors and colleagues to our site have a great day to day experience.

 

Scope of Role:

The services operated by the role holder affect all visitors’ colleagues at group head office and are required every day. Also, the services on offer benefit our ability to ‘do business’ efficiently with suppliers, colleagues and visitors to our sites.

The role will involve an amount of out of hours contact and responsibility. This will require decision making to ensure smooth and safe running of business operations.

The role involves constant change therefore the ability to anticipate and manage continuous change is essential

The role requires the ability to communicate effectively, manage staff performance and seek continuous improvement.

 

Key Responsibilities:

  • To be a proactive member of the FM team, wider team to align our approach to various site issues.
  • Greeting all visitors and ensure they have a warm welcome
  • Answering the phone and directing calls and taking messages
  • To undertake project work as required.
  • To be responsible for the management and efficient operation of the reception, meeting rooms and entrance facilities on site.
  • Organising meetings and managing databases
  • Handle and manage telephone calls
  • Handle incoming and outgoing correspondence including currier packages
  • Ensuring that team continually ‘Put our internal Customers 1st”.
  • Manage incoming and outgoing post and packages including daily courier pick ups
  • Assist the buying team with management of clothing samples as required
  • Take the lead in organising sample sales and sending unneeded samples back to the warehouse
  • Ordering stationery

Health & Safety:

  • Ensures all employees within the company are working in a safe manner
  • Fully understands the fire, emergency and health & safety procedures of the workplace
  • Ensures that all potential and real hazards are taken care of immediately, and are reported appropriately.
  • Works in a safe and responsible manner, within the framework of legislation and workplace specific policies.
  • Coordinate contractors carrying out planned maintenance works
  • Identify and report any facilities issues to the relevant contractor
  • Point of contact for the building management and cleaning contracts

 

Key Relationships:

Frequently meet colleagues and visitors at Head Office with various day to day issues across the remit of responsibility.

Senior Stakeholder management across the group.

 

Key Decisions:.

Full autonomy for all areas of responsibility.

 

Essential Knowledge, Skills, Proven Ability or Role Specific Qualifications required:

IT skills including the requirement to:

  • Relevant experience for role.
  • Advanced user of Microsoft Outlook
  • Advanced user of Microsoft Word
