The Role

This role sits within the Legal team, reporting to the Assistant Company Secretary, and is designed to provide wide ranging experience with share plans administration work. The role will assist with the life cycle of the Company's share plans, including communication with participants, monitoring the Share Plans Inbox, liaising internally with relevant departments e.g. payroll and tax and being instrumental in assisting the Company Secretary with delivering the annual launch of the global share schemes.

 

What You'll be Doing:

  • Responsible for the administration of boohoo group’s employee share plans (SIP, SAYE, ESOP and LTIP) within a team framework, working with colleagues from legal, HR, finance and payroll.
  • Assist with the administration of all share plan grants and vests, ensuring that they are recorded and communicated with colleagues appropriately, correctly and in a timely manner.
  • Ensuring that ad hoc queries to the Share Plans mailbox from participants are responded to, liaising internally with the Assistant Company Secretary, tax, payroll and externally with the share plans administrator.
  • Drafting of vesting and maturity documentation and communicating in a timely manner to participants.
  • Assisting with the annual global launch and maturity of the share schemes and keeping abreast of local requirements and changes to legislation
  • Organize, develop and maintain procedural and process documentation related to the company share schemes to ensure accurate transaction processing and minimize risk.
  • Work with the internal communications and HR team to develop effective colleague communications and promotional material.
  • Maintaining an internal share plans tracker.
  • Processing invoices and tracking spend with the share plan administrator.
  • Assist in the delivery of a share scheme training program for colleagues
  • Assist in identifying new system tools and enhancements to existing systems.
  • Act as a point of contact for colleague queries
  • Create and maintain excellent relations with key business partners.
 
Skills and experience required 
  • Previous experience in a shares administration role preferable, however if not experience in a financial administration or banking administration role would also be beneficial
  • This role would be suited to someone with high attention to detail and someone who is numerically and financially minded.
